How do I get my new committee into the Union's system?
Once you've completed your elections, either through eVoting or offline, you will need to make sure the Union has next year's committee contact details. This is so we can get in touch with them quickly, share resources and invite them to sign up to the Welcome Fair in advance.
It also gives the incoming committee access to eActivities in time for the system refresh on 1st August. If you need to update your committee list after 1st August then this will need to be done manually.

Clubs, Societies and Projects
Via eActivities
Step 1: Navigate to Next Year Contact Details
Go to eActivities> Administration > Clubs, Societies & Projects > Documentation > Next Year Contact Details
Step 2: Create Next Year Contact Details
Click on the Next Year Contact Details tab, then Create Next Year Contact Details. Now the Election Details subtab should appear, here you can enter the date when the committee election was held, and also the name of the Returning Officer (RO).
Step 3: Enter Committee Details
Navigate to the Next Years Contact Details subtab to add the details of who has been elected to each position. Only current membersof the CSP will appear on the drop down list.
Step 4: Submit
Click the Submit Next Years Contact Details button to complete your submission. Once submitted you can edit committee details up until the system refresh on 1st August.
Manually
If this deadline is missed, the current Chair/President/Club Captain should email the Student Opportunities and Development Team with the following information:
- Position
- Full Name
- CID Number
- Mobile Number
Management Group and Constituent Union

Go to eActivities> Administration > Management Group Overview > Management Group Administration > Next Year Contact Details
Step 2: Create Next Year Contact Details
Click on the Next Year Contact Details tab, then Create Next Year Contact Details. Now the Election Details subtab should appear, here you can enter the date when the committee election was held, and also the name of the Returning Officer (RO).

If this position has not been filled, the Union will review all committee positions in the MG/CU and will work alongside them to recruit further members to create a complete committee.
